Getting Your Data AI-Ready Before You Hire an AI Team

One source of truth

Consolidate scattered operational data into a warehouse with clear ownership. AI on top of ten disconnected tools produces ten disconnected answers.

Documentation as data

Column descriptions, business definitions, and lineage are what let LLMs — and new hires — understand your data.

Access and privacy by design

Row-level security and PII classification set up now avoid painful retrofits when AI features need the data.

Why this matters in 2026

Every AI initiative eventually becomes a data initiative. Retrieval needs clean documents, agents need trustworthy systems of record, analytics assistants need a semantic layer. Companies that invest in data foundations first ship AI features faster and with fewer surprises. This article covers what "AI-ready data" means in practice.

Step-by-step: how to approach it

1. Consolidate. One warehouse (BigQuery, Snowflake, or Postgres) fed by reliable pipelines from your operational tools.
2. Model and document. dbt models with descriptions, tests, and ownership. Documentation is what lets LLMs — and people — understand your data.
3. Define metrics once. A semantic layer so "revenue" means the same thing to every query, human or AI.
4. Classify and protect. Tag PII, apply row-level security, and decide what may leave your boundary.
5. Add AI-specific pipelines. Incremental embedding, index versioning, and freshness SLAs for retrieval systems.

At a glance

Common mistakes to avoid

• Pointing an LLM at raw tables and expecting correct answers.
• No data ownership, so quality problems have no owner either.
• Embedding documents once and never refreshing.
• Skipping PII classification and discovering it during an audit.
• Building dashboards nobody asked for instead of answering the top 20 questions.

How FreshCodes can help

We are an AI-first development company that designs, builds, and operates AI agents, LLM-powered applications, and AI-native web and Flutter mobile products. Every engagement starts with a free discovery call where we map your process, assess your data, and give you a fixed-scope plan with a timeline and estimate — including projected running costs. From there we ship weekly, measure against an evaluation set, and support your product after launch.
